What we collect, and why
Contact form
When you use the contact form we receive your name, email address, phone number
(optional), the team you selected, a subject and your message. We use this only to
answer you. The message is delivered by email to the SmartAPEX team you chose.
Partner and installer application form
This form asks for your company name, your name, email address, phone number,
location, company website (optional), partner type, target market, product interests
and your message. We use it to assess and respond to partnership enquiries. It is
delivered to ceo@smartapex.es.
Dealer portal accounts
If you register for the dealer portal we store the account details you provide and
records of your activity in the portal, such as orders, support tickets and warranty
claims. This is necessary to operate the portal and to fulfil our agreement with you.
Server logs
Our hosting provider records standard web server logs, including IP address, the
pages requested, and browser information. These are used for security and to diagnose
faults. Failed sign-in attempts are counted per IP address for a limited period so that
automated password-guessing can be blocked.
Legal basis
- Consent – for the reCAPTCHA cookies described in the
cookie policy. - Legitimate interest – answering enquiries you send us, and
keeping the site and its accounts secure. - Contract – operating a dealer portal account you asked for.
Who else sees your data
- Google (reCAPTCHA) – only after you accept cookies. Google
receives technical signals used to tell people from bots. See
Google’s privacy policy. - Our hosting and email provider – stores the site, its database
and the email it sends, within the EU.
We do not sell your data and we do not use it for advertising.
How long we keep it
- Enquiry emails. General enquiries that do not lead to a business relationship are kept for 12 months. Correspondence that relates to an order or an invoice is kept for 6 years, as required of commercial records by Article 30 of the Spanish Código de Comercio.
- Dealer portal accounts: for as long as the account is active.
- Server logs: as retained by our hosting provider.
Your rights
Under the GDPR you may ask us for a copy of your data, to correct it, to delete it,
to restrict or object to how we use it, and to receive it in a portable format. Write
to info@smartapex.es. You also have the right to
complain to the Spanish data protection authority, the
AEPD.
